VMTranscribe is a product of Inspired. This page describes what we hold, why, and for how long. It is a plain summary rather than a contract; the agreement with your organisation governs.
Voicemail we process for our customers
When your phone system emails a voicemail to VMTranscribe, we hold the recording, the transcript and summary we produce from it, the calling number where one was provided, and the delivery record of the notifications we sent.
We process that content to provide the service to the organisation that sent it — nothing else. We do not sell it, and we do not use one customer's voicemail to build a product for anybody else.
- Recordings are served only through links that are signed and expire. There is no public URL for a voicemail.
- Links in emails and text messages are stored hashed, so a copy of our database does not yield a working link.
- Access to a voicemail is written to an append-only log that outlives the recording it describes.
- Recordings and transcripts are deleted on the retention schedule set by your organisation, in two phases with a grace period.
Transcription and summarisation use a third-party speech and language provider, and text-message delivery uses a third-party messaging provider. They process the content only to return a result to us. Your organisation's administrator can ask us who those providers are at any time.
If you are the person who left the voicemail
We hold your recording on behalf of the business you called, and that business decides how long it is kept. Ask them, or write to [email protected] and we will put you in touch with the right administrator.
This website
This site uses Google Analytics 4 to count visits and see which pages are read. That sets cookies in your browser and sends Google a record of the page you viewed, along with your approximate location, device and referrer. We use it in aggregate; we do not attempt to identify individual visitors, and there are no advertising or social tracking scripts on this site.
You can block it with any tracker-blocking extension, or with your browser's "do not track" and cookie controls, and the site works exactly the same. Google's own handling of that data is described in Google's privacy policy.
Email you send us
If you write to [email protected], we keep the correspondence so we can answer it and pick the thread back up later.
Getting in touch
Questions, corrections, or a request to see or delete what we hold about you: [email protected]. If your organisation has an administrator for VMTranscribe, copying them will usually get you an answer faster.
